Terms of Service

Clear rules for a consent-based email warm-up service and the placement evidence it produces.

Effective: September 14, 2026 · Last updated: September 27, 2026

1. Agreement

These Terms of Service (the “Terms”) govern your access to and use of InboxPrep, including its website, account workspace, consent-based warm-up pool, and placement evidence features (together, the “Service”). “InboxPrep”, “we”, “us”, and “our” refer to the operator of the Service. “You” means the person or organization using it.

By creating an account, connecting a mailbox, starting warm-up, or otherwise using the Service, you agree to these Terms. If you use the Service for an organization, you confirm that you have authority to bind that organization and that these Terms apply to its users and connected mailboxes.

Important: InboxPrep measures observed email outcomes. It does not guarantee inbox placement, delivery, sender reputation, or any particular campaign result.

2. The service

InboxPrep helps participating Gmail, Outlook, and supported Cloudflare mailboxes build a controlled history of normal-looking email activity and review where controlled placement probes are observed. The current Service includes:

  • Provider authorization to connect an eligible mailbox to your workspace.
  • Connecting an inbox through the warm-up flow is the explicit pool-join action. Once setup is ready, the first warm-up campaign starts automatically and can be paused at any time.
  • A bounded daily programme that sends short, generated warm-up messages between your inbox and InboxPrep-operated inboxes. Your inbox is never paired with another customer’s.
  • Receipt tracking and, where the original message is confirmed, at most one short automatic reply in the same provider thread.
  • Controlled placement probes to operator-managed measurement inboxes, with dashboard results shown as Inbox, Promotions, or Spam when those outcomes can be observed.
  • Workspace controls to stop warm-up, leave the pool, or disconnect a mailbox, plus exchange and placement history.

Warm-up activity follows service-defined pacing, working windows, provider limits, thread-spacing rules, and safety budgets. When no suitable capacity is available, the Service may wait rather than send. We may change, improve, restrict, or discontinue a feature, subject to any rights that cannot be excluded by law.

3. Accounts and connected mailboxes

Account responsibilities

You must provide accurate information, keep your sign-in details secure, and promptly tell us if you suspect unauthorized access. Workspace access is personal to you or your organization; do not sell, sublicense, share, or transfer it except through the membership controls provided by the Service.

If other people use your organization workspace, you are responsible for their activity and for ensuring that they follow these Terms. We may suspend access when account information is materially false, misleading, outdated, or used to bypass a safety control.

Mailbox authorization

You may connect only a mailbox that you own or are authorized to administer. You authorize the selected email provider and its authorization partner to handle the connection according to their own terms. For a mailbox you bring to the Service, InboxPrep does not ask you to send us your provider password. A separately purchased managed Google inbox uses the credential process described below.

For the pool workflow, the connection is used to identify the mailbox, send Service-generated messages, find messages created by the Service, and observe the metadata needed to confirm a receipt or reply. We do not intentionally import your address book or read unrelated message bodies. A provider connection may expire or lose capability; when that happens, warm-up can pause until you reconnect.

Warm-up messages are real email sent to and from InboxPrep-operated inboxes. Your connected address is visible only to those inboxes. Do not connect a shared or third-party mailbox without permission.

4. Managed domains and Google inboxes

InboxPrep registers and administers the selected domain, DNS configuration, and Google Workspace while the managed service is active. You receive a limited, revocable, non-exclusive license to use the Gmail mailbox shown at checkout during the paid service term. You receive no Cloudflare, DNS, Icemail, registrar, or Google Admin access.

You may request transfer of the domain to an eligible registrar account you control by contacting support@inboxprep.com. A transfer requires your account to be in good standing, payment of outstanding charges, and compliance with registry and registrar transfer locks or verification requirements. A domain transfer does not include the managed Google Workspace, mailbox, or administrator account unless InboxPrep expressly agrees otherwise.

Your use of a managed domain must comply with applicable registry requirements and the Cloudflare Domain Registration Agreement. You authorize InboxPrep to enforce those requirements for the domain and mailbox licensed to your organization, including suspension or termination when required by a registry, registrar, provider, or applicable law.

Domain registration and annual renewal charges are non-refundable once the registrar completes the corresponding operation, except where mandatory law requires otherwise. Checkout shows one combined managed-domain first-year price, the first mailbox month, any selected warm-up month, the ongoing monthly prices, and the estimated combined domain renewal. Renewal estimates are not price guarantees. Before an annual renewal, InboxPrep may quote and invoice the current managed-domain renewal price; registrar auto-renew remains off unless that invoice is paid.

Leaving or stopping warm-up affects only InboxPrep automation and does not cancel the Gmail mailbox. Canceling the managed add-on schedules the mailbox to end at its monthly term and leaves the domain to expire at its annual term. A cancellation may be reversed only until the deadline shown in the Service. Once provider deletion has been scheduled, credential access and reversal may no longer be available. Retired domains are not reassigned to another customer.

An organization administrator may reveal the current managed-mailbox password and authentication code through separate, no-cache Service actions. You are responsible for protecting those credentials and for activity performed through the mailbox. InboxPrep may suspend or end the mailbox for non-payment, breach, provider direction, legal requirements, or activity that threatens deliverability or provider access.

Managed mailboxes are subject to the provider activity limit displayed in the Service. InboxPrep can reduce or skip its own automation based on recent Gmail Sent metadata, but it cannot prevent you from exceeding the provider limit through ordinary Gmail use. You must not use the mailbox to evade sending limits, send to purchased or non-consenting lists, or violate any provider rule.

Domains you bring

If you choose to use a domain you already own, you remain its registrant and are responsible for having authority to change its nameservers. InboxPrep creates and operates a separate Cloudflare DNS zone only after the zone becomes active. We do not transfer the domain to ourselves or take over its registrar account.

Changing nameservers can interrupt an existing website, email, forwarding, DNSSEC, or other DNS-dependent service. Before you delegate nameservers, you must review the records shown by the Service, keep any records you need, and accept the specific risks displayed for the domain. We may reject domains that appear to have hosted mail or cannot be safely assessed.

While an InboxPrep-managed Google mailbox is active, you authorize us to operate the DNS records required for that mailbox. If DNS control is lost, the domain expires, or the service ends, we may pause mailbox warm-up and later delete the Cloudflare zone after the grace period shown in the Service. You are responsible for restoring nameservers and DNS records at your registrar before that deletion. Google Workspace, Icemail, Cloudflare, and other providers remain subject to their own agreements and availability.

5. Acceptable use

You may use the Service only for lawful, authorized mailbox preparation and measurement. You must not:

  • send or cause messages to be sent to purchased, scraped, unsolicited, or otherwise non-consenting recipients;
  • use the Service as a bulk marketing, cold-outreach, transactional-mail, or list-validation platform;
  • connect another person’s mailbox without authorization, impersonate a person or organization, or conceal who controls a connected address;
  • send, store, or generate content that is unlawful, fraudulent, defamatory, abusive, infringing, invasive of privacy, malicious, or intended to distribute malware;
  • interfere with the Service or Gmail, Outlook, Cloudflare, Composio, Clerk, or another provider; probe or bypass access controls; or reverse engineer the Service except where applicable law permits it;
  • evade daily, owner, domain, provider, pacing, pair, or other safety limits, or attempt to create duplicate traffic; or
  • use placement evidence as proof that an unrelated message, sender, domain, or future campaign will reach a particular folder.

You must also follow the terms and acceptable-use rules of the email provider connected to the Service and comply with laws that apply to your messages, mailbox, organization, and recipients.

6. Data and privacy

You retain your rights in information and content that you provide or authorize us to process. You grant InboxPrep a limited, non-exclusive right to host, transmit, store, format, and process that information only as needed to provide, secure, troubleshoot, and improve the Service and to produce the dashboard history described above.

The Service may process workspace and organization identifiers, connected mailbox addresses and provider status, campaign and consent state, generated message content, message and thread identifiers, delivery state, placement evidence, and security or operational logs. The email provider, authorization partner, authentication provider, and infrastructure providers may process data as necessary to deliver their parts of the Service.

InboxPrep’s pool workflow is limited to messages it creates and the metadata needed to identify those messages. It does not give us control over ordinary mail that you send outside the Service, and it cannot recall mail already accepted by Gmail or Outlook. You are responsible for keeping any copies or records you need.

Stopping warm-up prevents new scheduled activity. Leaving the pool removes the mailbox from future matching and cancels pending automatic actions. Disconnecting also ends the provider connection used by the Service. An email already admitted to a provider may finish while a stop, leave, or disconnect request is being processed, and operational records may remain where needed for security, fraud prevention, dispute handling, or legal compliance.

7. Fees, offers, and paid plans

Warm-up costs USD 8 per connected inbox each month. A recurring subscription renews automatically until it is cancelled. Organization administrators can manage payment methods, invoices, and cancellation through the billing portal. Cancellation normally takes effect at the end of the paid billing period unless the checkout or portal states otherwise.

Each eligible organization may receive one 21-day trial for one warm-up inbox. An organization administrator must confirm the offer when connecting the organization’s first eligible self-managed inbox. The trial starts only after that inbox is verified and connected successfully; a failed, canceled, or abandoned attempt does not start it. Purchased managed Google inboxes are excluded. The trial does not require a card, create a paid subscription, or convert automatically. After it ends, a separate Stripe Checkout confirmation is required before warm-up can continue.

Promotion codes, complimentary access, and other offers may carry additional eligibility dates or limits shown with the offer. Nothing in these Terms requires you to buy a paid plan, and any mandatory cancellation, refund, tax, or consumer rights under applicable law remain unaffected.

8. Availability, evidence, and limits

The Service is provided on an “as available” basis. Email providers, networks, authentication systems, inbox filters, and measurement inboxes are outside our control. We do not promise that the Service will be uninterrupted, error-free, secure, or available in every location or at every time.

Placement results are observations from controlled probes, not guarantees. A result can be delayed, unavailable, filtered, misclassified, or different from the result for a later message. InboxPrep cannot guarantee delivery, inbox or Promotions placement, reply generation, open rates, sender reputation, domain reputation, or campaign performance.

To the maximum extent permitted by law, we are not responsible for indirect, incidental, special, consequential, exemplary, or punitive loss, or for lost profits, revenue, business, goodwill, reputation, or data arising from use of the Service or a connected provider. Nothing in these Terms excludes liability that cannot legally be excluded or limited.

To the maximum extent permitted by law, our total liability for claims arising from the Service will not exceed the amount you paid us for the Service during the twelve months before the event giving rise to the claim. If you paid nothing, the limit is USD 100. This limit does not apply to liability that cannot legally be limited.

9. Suspension and termination

You may stop warm-up, leave the pool, disconnect a mailbox, or stop using your account at any time using the controls made available by the Service. These actions stop future participation but cannot recall a message already submitted to a provider.

We may limit, pause, suspend, or terminate access if you breach these Terms, create a security or deliverability risk, use an unauthorized mailbox, fail to pay a future paid plan, interfere with the Service, or if doing so is necessary to comply with law or a provider requirement. We may also pause a mailbox when placement evidence or provider behavior indicates a safety risk.

After termination, your right to use the Service ends and future warm-up activity stops. Provisions concerning acceptable use, data handling, intellectual property, disclaimers, liability, indemnity, and dispute resolution continue to apply where their nature requires.
